Procedures for Japanese Government (MEXT) Scholarship Students

Important information

Recipients of the Japanese government (Monbukagakusho) scholarship must hold the College Student status of residence. Students whose status of residence is not listed on their documents as College Student may not receive scholarship payments, etc. Please ensure that you extend your length of stay without fail before your visa expires.

Procedures for receiving scholarship payments

Please take your student identification card or residence card to the designated administrative office every month and sign the Government-sponsored International Student Enrollment Register. Please check this calendar to confirm the monthly registration period.
The scholarship recipient must sign the register in person. Your identity will be checked at the designated administrative office using your student identification card or residence card. You may not have someone sign on your behalf.

Government-sponsored international students with excellent grades (a grade of 2.5 or higher) who wish to advance to a higher level of study may, at the recommendation of their supervisor, apply to extend their scholarship period. MEXT will conduct the selection process and decide whether or not to accept you. Please discuss the timing of your advancement with your supervisor beforehand. Please refer to the following and ensure that you check the submission deadline and other details with the relevant Student Affairs Section(Undergraduate, Graduate) in advance, without fail.

Example 1: If enrolling in April as a research student and advancing to further study in October the same year
→ Apply in early May Consult/check with your supervisor and the Student Affairs Section in April.
Example 2: If enrolling in April as a research student and advancing to further study in April/October the following year
→ Apply in early December Consult/check with your supervisor and the Student Affairs Section in November.
Example 3: If enrolled on a master’s program and planning to advance to a doctoral program in April/October the following year
→ Apply in early December Consult/check with your supervisor and the Student Affairs Section in November.

(Important)

  • Students may not extend their scholarship period while remaining a research student.
  • Students may not extend their scholarship period beyond the standard number of years required for completion due to needing to repeat a year of their master’s or doctoral program.
  • Students who advance to further study without submitting an application for extension will be unable to receive a MEXT scholarship.
    *hey will lose their status as government-sponsored international students, but can advance to further study as privately funded international students.
  • Please ensure that you check other details and conditions with the relevant Student Affairs Section(Undergraduate, Graduate) in advance, without fail.

Travel expenses when returning to your home country

MEXT scholarship students who are returning to their home country once their scholarship period has come to an end should apply to receive funds to cover their travel expenses when returning home. Information about applying for travel expenses for returning home will be provided a few months before the date of return. Please ensure that you submit your application before the deadline. Due to the application procedure, you will be required to obtain your air ticket from a travel agent designated by the Ministry of Education, Culture, Sports, Science and Technology.
You may not apply for funds to cover your travel expenses when returning home in the following situations.

  • If you do not apply for your travel expenses for returning home before the deadline
  • If you return home for personal reasons part of the way through your scholarship period
  • If you do not return home within the specified period after your scholarship period has come to an end
  • If you are returning to your country temporarily (such as for travel or to see family/friends)
