[Event Report] Event held on Thursday, October 16th
"Complete Guide to the Study Abroad Timeline: Ryugakuni Ika-Night”
The International Student Exchange Division of the International Affairs Department of Kyushu University held an event organized by Q-MATE on Thursday, October 16, 2025, during the 5th period, at the Ohmei Sky Plaza of Center Zone 2 (Q-commons). The event was designed to address students’ questions and concerns regarding the application process for university-level exchange programs, as the application deadline was approaching in approximately one month. As many as 48 students joined this event.

In the first half of the event, we had a panel discussion with three Q-MATE members who had previously studied abroad and one moderator. They discussed four key topics that students commonly struggle with during the exchange application process, including the types and timing of English proficiency tests and study methods, how to decide the timing of studying abroad, and how to structure a study plan. Each speaker shared their personal experiences, which received positive feedback from participants who found the real-life examples very helpful in understanding the process. Many participants also appreciated hearing important information from a student’s perspective, with comments such as “It was great to hear directly from those who had actually gone through the experience.”
In the last half of the event, six Q-MATE members facilitated roundtable discussions at separate tables. As many students were preparing to apply in November, students asked many practical questions, such as how to choose universities, how to write the study plan, the cost of living abroad, and scholarship opportunities. The discussions were very active, so the planned 15 minutes were not sufficient to answer all the questions raised by participants.
According to the post-event survey, approximately 90% of participants reported being satisfied with the event. There were many positive comments, such as “They were able to obtain specific advice on scholarships and English proficiency” and “Hearing personal experiences helped increase their motivation”. But at the same time, some participants noted that the major and the region of study abroad of the Q-MATE members were somewhat limited, providing valuable feedback for future improvement.
Overall, this event served as a meaningful opportunity to deal with students’ concerns. We are planning an event focusing on scholarships in December. We will continue to actively support students who wish to study abroad.
